Watalog lets you upload dozens of products to GeM in one Excel file instead of listing each one manually. It saves hours for large catalogues and creates new failure modes that the manual interface does not have. This guide tells you when to use it and how to avoid the traps.

Step-by-Step: Upload Products via Watalog

Confirm your products have an existing GeM category before downloading the template
Watalog only works for products in existing GeM catalogue categories. Before downloading any template, search gem.gov.in as a buyer to confirm your product type has an active category with a specification sheet. If no category exists for your product, Watalog cannot help. You would need to request a new category through the GeM portal, which takes months.

Download the category-specific Watalog template from your seller dashboard
Log in to your GeM seller dashboard and navigate to Product Listing > Bulk Upload > Download Template. Select the category for your products. Each category has its own template with different mandatory columns; you cannot use a stationery template for IT equipment, for example. Download the correct template for each category you are listing in.

Fill the template exactly. Do not add, remove, or rename columns
The Watalog template has fixed columns in a fixed order. Adding a column, removing one, or changing a column header causes the entire upload to fail with a generic error. Fill only the cells within the existing structure. For mandatory fields, every row must have a value. For optional fields, leave the cell blank; do not type "N/A" or a dash.

Use the allowed values list for dropdown and coded fields
Several columns in the Watalog template require codes from a predefined list: HSN codes, brand codes, unit of measurement codes. These are documented in a separate reference sheet that ships with the template download. Do not type freeform text in coded fields. A product with "Pieces" in the UOM column instead of the code "PCS" will fail validation silently.

Upload images separately before or after the bulk upload
Watalog does not accept product images in the Excel file. After uploading your product data, go to each listing in your seller dashboard and upload product images individually or via the image bulk upload tool. A listing without images appears incomplete to buyers and is deprioritised in search results, regardless of how well the Watalog data is filled.

Check each listing status 48 hours after upload. Do not assume success
After a Watalog upload, the portal shows an overall success or failure message for the batch. However, individual products within a successful batch can still be rejected during category review. Log in to your seller dashboard 48 hours after upload and check each listing status. Products marked "Under Review" or missing from search require follow-up.
Common Watalog Errors and Fixes
Column mismatch error on upload
Download a fresh template. Never use a saved template from a previous session, as GeM updates templates periodically. Old columns cause this error.
Products upload but disappear after 48 hours
Specification field content failed category review. Check each field against the category specification sheet and resubmit the corrected rows.
HSN code rejected
Use the HSN code lookup in the template reference sheet, not your Tally or accounting system. GeM uses its own HSN code format for some categories.
Images missing after successful upload
Images are never part of the Watalog file. Upload product images separately through the seller dashboard after Watalog data is processed.

Why does Watalog show zero errors but products do not appear in search?
Watalog validates your upload file for structural errors (missing columns, wrong data types) but does not validate the content of specification fields. A product can pass Watalog validation and still fail the category specification review, causing it to be hidden from search results without a clear error message. Always check your listings in the seller dashboard 48 hours after a Watalog upload.
Do I need a separate Watalog registration or is it part of my GeM account?
Watalog is integrated into the GeM seller dashboard; no separate registration or account is needed.
